The Opportunity

In this pivotal role, you’ll provide high-level administrative support to senior leaders, ensuring smooth day-to-day operations across a busy and dynamic environment. This multifaceted position requires strong organisational and interpersonal skills as you coordinate processes, support projects and committees, and deliver reliable, confidential and solutions-focused advice. With a broad understanding of organisational structures and operations, you’ll help streamline workflows, enhance administrative efficiency and contribute to a professional, well-supported team.

You will

  • Provide high-level administrative support to the Deans and School Academic staff;
  • Manage the calendar, appointments and daily operational workflow of the Deans and Leadership team as required;
  • Proactively triage, prioritise, and respond to incoming requests; and
  • Facilitate a culture or reporting and compliance

About you

You’re an effective communicator with the ability to clearly explain processes and produce accurate, well-structured documents. Highly organised and adaptable, you manage multiple priorities and deadlines with confidence while working both independently and as part of a team. With strong problem-solving and interpersonal skills, you remain resilient in times of change and bring a proactive, solutions-focused approach to supporting colleagues.

You will possess:

  • Completion of a degree, or an equivalent combination of relevant experience and / or education or training;
  • Extensive experience providing customer-focussed administrative support, including:
    1. Responding to telephone, email and in-person enquiries.
    2. Dairy Management and coordination of the Dean’s Office.
    3. Excellent stakeholder interaction - the ability to respond to, liaise and interact effectively, with diverse stakeholders, both internal and external to the University, on behalf of the Dean.
    4. The ability to interpret and apply policies and procedures.
    5. Committee support skills such as preparing agendas, distributing papers and ensuring further action and follow up.
  • Excellent computer literacy including the ability to use databases, Microsoft 365 applications such as Share Point, teams, Excel, Word, PowerPoint and the ability to learn new systems/packages/processes quickly and effectively; and
  • The ability to maintain confidentiality and handle sensitive matters discreetly is an essential component of this role, as is the ability to exercise good judgement, take initiative and solve problems, as required.
