Privacy statement

The University of the Sunshine Coast collects and manages personal information about its students, staff and other individuals to operate effectively and in accordance with applicable privacy laws, including the Privacy Act 1988 (Cth), the Australian Privacy Principals, and the Information Privacy Act 2009 (Qld).

Personal information is handled in a responsible and secure manner and will not be disclosed to third parties without your consent unless required or authorised by law.

UniSC collects personal information that is reasonably necessary to:

  • assess your application for employment or engagement
  • verify your qualifications, experience and suitability for the role
  • conduct reference, background, identity and compliance checks
  • manage recruitment processes and maintain recruitment records
  • meet legal and regulatory obligations as a higher education provider

The types of personal information collected may include:

  • contact and demographic information
  • work history and employment details
  • education history, qualifications and professional credentials
  • identification and verification information (e.g. proof of identity, work rights)
  • referee details and reference information
  • any other information reasonably necessary to assess your application

UniSC may collect your personal information:

  • directly from you (e.g. application forms, resumes, supporting documents)
  • through recruitment platforms and systems (e.g. PageUp and PeopleSoft)
  • from authorised third parties with your consent (e.g. referees, previous employers, educational institutions, government agencies)

If you do not provide the requested information, we may be unable to assess your application or progress your candidacy 

Your personal information may be disclosed to:

  • referees, previous employers and relevant professional or regulatory bodies
  • third-party service providers engaged by UniSC to support recruitment, verification and onboarding processes
  • related entities or partners where necessary to carry out recruitment and employment processes

UniSC does not ordinarily disclose recruitment information overseas. However, some service providers engaged by UniSC may store or process personal information outside Australia. Where this occurs, UniSC takes reasonable steps to ensure appropriate data protection safeguards are in place.

Please ensure that the information you provide is relevant to your application and the requirements of the role.

You should not include the following information unless it is directly relevant and specifically requested:

  • protected attributes such as religion, sexual orientation or political beliefs
  • health or medical information (unless required for inherent role requirements or adjustments)
  • disability information (unless you wish to request reasonable adjustments)
  • spent convictions (unless disclosure is required by law for the role)

If you are unsure whether certain information should be disclosed, you are encouraged to contact us confidentially before submitting your application.

By submitting your application, you acknowledge and agree that UniSC may, where reasonably necessary:

  • contact your nominated referees, previous employers and relevant professional or regulatory bodies
  • verify your qualifications, employment history, identity and other information relevant to your application
  • conduct background, compliance or probity checks appropriate to the role

You consent to:

  • those parties providing information to UniSC for these purposes
  • the disclosure of relevant information to UniSC, including information that may be subject to confidentiality obligations, to the extent permitted by law

You acknowledge that:

  • these checks are undertaken solely to assess your suitability for employment and to manage risks to staff, students and the University community
  • all information will be handled in accordance with UniSC’s Privacy Policy

If you do not consent to these checks, UniSC may be unable to progress your application.

Consent validity: This consent remains valid for six (6) months from the date of submission unless withdrawn in writing.

If you provide details of referees or other third parties:

  • you confirm that you have obtained their consent to provide their personal information to UniSC
  • you understand that UniSC (or its service providers) may contact them to obtain information relevant to your application

As a higher education provider, UniSC is committed to maintaining a safe and respectful environment for students, staff and the broader community.

Personal information collected during recruitment may be used to:

  • assess your suitability for the role
  • identify and manage potential risks
  • meet obligations under the Higher Education Standards Framework and other applicable standards

Any such assessment will be conducted fairly, proportionately and in accordance with applicable laws.

You may be asked to disclose whether you have:

  • been the subject of an investigation relating to serious misconduct (including gender-based violence), or
  • been found, through a formal process, to have engaged in such conduct

This information will only be used where reasonably necessary to assess role suitability and manage risks, and will be handled sensitively and confidentially.

If you are successful in your application, your personal information will be used and disclosed for employment-related purposes, including:

  • onboarding, payroll, superannuation and employment administration
  • maintaining employment and contact records (including emergency contacts)
  • complying with work health, safety and wellbeing obligations
  • managing performance, development and workforce planning
  • fulfilling contractual, legal and regulatory obligations

UniSC will retain your personal information for as long as necessary to:

  • complete the recruitment process
  • comply with legal and record-keeping obligations

If you are unsuccessful, your information may be retained for a reasonable period to:

  • consider you for future employment opportunities
  • respond to enquiries or complaints

You may request that your information is no longer retained for future opportunities by contacting UniSC.

Third-Party service providers

UniSC uses third-party service providers to support recruitment, verification and onboarding processes. These providers act on behalf of UniSC and are required to handle personal information in accordance with applicable privacy laws.

Website information (General)

When you access UniSC websites, certain information may be recorded for statistical and system administration purposes, including browser type, pages accessed and server address. This information does not identify you personally.

Some services may use cookies to support functionality. You may configure your browser to refuse cookies; however, this may limit access to certain features.

Email correspondence may be retained as a public record in accordance with applicable legislation, including the Public Records Act 2002 (Qld).
