The Opportunity

You’ll provide high-level administrative support in a fast-paced, dynamic environment, assisting managers, staff, and contractors, and liaising with internal and external stakeholders. You’ll prepare and facilitate meetings, manage correspondence and documentation, and ensure conference facilities are ready for use. Using a variety of software tools, you’ll help drive site outcomes and support the Clinical Trials Centre reception when needed, making a real impact on the day-to-day success of our vibrant campus.

You will

  • Provide high level medical reception and administrative support to the site, ensuring efficient patient, participant, and visitor processes;
  • Deliver a broad range of advanced administrative services in a fast-paced and complex environment, maintaining accurate records and supporting high quality site operations through timely and reliable work;
  • Prepare facilities and complete all administrative requirements for external meetings, including those involving sponsors, monitors, and visitors; and
  • Provide efficient administrative support for the procurement of goods and the effective management of reception and site logistics across the clinical trial site.

About you

You are an experienced professional with a track record supporting Aboriginal and Torres Strait Islander students throughout their academic journey. You communicate confidently, build positive relationships, and work effectively both independently and as part of a team. Highly organised, you can prioritise tasks, meet deadlines, and maintain confidentiality while using initiative and sound judgment. You are passionate about developing and delivering initiatives that empower Aboriginal and Torres Strait Islander students to succeed and thrive in their educational endeavours.

You will possess:

  • Qualification in Medical Reception duties or a related field, preferably with subsequent experience within a clinical research/health environment, or an equivalent combination of education, experience and training;
  • Demonstrated ability to provide confidential administrative support whilst efficiently managing and prioritising workload and maintaining attention to detail;
  • A high level of interpersonal skills, including effective negotiation skills and demonstrated ability to liaise with management, technical staff and external organisations;
  • Ability to connect and collaborate with colleagues and external stakeholders;
  • Ability to work independently and as part of the multidisciplinary team; and
  • High level computing skills (including databases, clinical trial electronic data entry, word processing and spreadsheets).
