The Opportunity

This role offers the chance to provide high-level administrative and project support to the Executive, while contributing to the smooth day-to-day operations of their office. You will develop a strong understanding of the University’s structure, programs, policies, and Executive portfolio, using this insight to coordinate tasks, manage priorities, and support a range of initiatives that make an impact across the University. It’s an opportunity to be at the heart of decision-making, working closely with leaders and helping drive excellence across our community, government, and industry partnerships.

You will

  • deliver high-level administrative support that keeps the Executive running smoothly and effectively;
  • oversee the Executive’s calendar, appointments and daily workflow, ensuring priorities are managed with ease;
  • proactively manage incoming requests, making timely decisions and keeping operations flowing seamlessly; and
  • keep the Executive office running efficiently, supporting a professional and collaborative environment that drives the University’s goals.

About you

You’re proactive, adaptable, and confident in juggling competing priorities, ensuring the Executive’s office runs efficiently while maintaining a keen eye for detail. You take pride in providing seamless administrative and secretarial support, whether that’s managing complex diaries, coordinating meetings and events, preparing reports, or handling sensitive information with discretion. You’re a natural communicator, able to build strong relationships across our University, with government and industry partners, and with external stakeholders. You enjoy contributing to a high-performing team, improving processes, and bringing energy, precision, and professionalism to everything you do.

You will possess:

  • Strong verbal and written communication skills, able to explain processes clearly, prepare concise written materials, and engage confidently with a range of stakeholders.
  • Extensive experience providing high-level, customer-focused executive administrative support, including managing enquiries, liaising effectively with students, staff, and external partners, interpreting policies, and supporting committees with agendas, papers, and follow-up actions.
  • Excellent digital literacy, including proficiency with databases, electronic diaries, Microsoft Office, and the ability to quickly learn new systems, tools, or processes.
  • Highly developed organisational and interpersonal skills, with the ability to manage multiple priorities, meet competing deadlines, work autonomously, and collaborate as part of a high-performing team.
  • A strong sense of discretion and integrity, capable of handling confidential or sensitive matters professionally, exercising sound judgement, taking initiative, and resolving problems effectively.
